Billing & Refund Policy

This policy explains how OrderBookApp charges for the Service — plans, billing cycles, seats, taxes, refunds and cancellation. It forms part of our Terms of Service. By subscribing to a paid plan you agree to it.

1. Plans

  • Free — one user, unlimited orders, vendors and customers. Free forever, no card required.
  • Pro — $9 per month or $90 per year for one user: everything on Free plus your logo on documents and more storage.
  • Team — $29 per month or $290 per year for up to 5 users: everything on Pro plus staff seats, per-seat access and accountant exports.
  • Business — $79 per month or $790 per year for up to 20 users: everything on Team plus accounting exports for Tally, QuickBooks, Xero and Zoho Books, and priority support.

Current inclusions are listed on our pricing page. A "user" is a person who signs in to your business. Vendors and customers are not users — they open orders, purchase order links and statements without an account, and are never charged for.

2. Free trials

Team and Business include a 30-day free trial that begins when your first staff member joins. No card is needed to start it and nothing is charged automatically when it ends. Pro has no trial and is covered by the 14-day refund in section 6.

3. Billing cycles

  • Monthly: billed in advance on your subscription anniversary and renews automatically until cancelled.
  • Annual: billed once a year in advance, at a saving of two months compared with paying monthly ($90, $290 and $790; ₹999, ₹4,990 and ₹9,990 in India).

Plans are flat-priced: the charge depends on your plan, not on how many of its seats you use.

4. Seats: adding and removing users

  • Adding users — new users get access immediately. Team includes up to 5 users and Business up to 20 at the plan price; adding a person within the limit costs nothing extra.
  • Trial — Team and Business include a 30-day trial that starts when your first staff member joins. No card is needed and nothing is charged automatically when it ends.
  • Removing users — access is revoked immediately. Plans are flat-priced, so the price does not change.
  • Upgrades — take effect immediately. You are charged a prorated amount for the remainder of the current period.
  • Downgrades — take effect at the end of the current billing period. No partial refund is issued for the period already paid.
  • Lapsed plans — if a trial ends unpaid or a subscription lapses, the account returns to Free. The owner keeps full access to every record; staff seats are locked, not deleted, and unlock when the plan is active again.

5. Payment and taxes

Payments are processed by Paddle, acting as our merchant of record. Paddle handles the payment, issues the invoice, calculates and remits tax, and is what appears on your card or bank statement. Card details are held by Paddle — they are never sent to, or stored on, OrderBookApp servers.

  • Accepted methods depend on your country and are shown at checkout (major credit and debit cards, and other local methods Paddle supports).
  • Sales tax, VAT or GST is calculated by Paddle from your billing address and added at checkout where applicable.
  • You are responsible for giving accurate billing details, including any business tax registration number.

5.1 Regional pricing

Prices are set per country by our billing provider, so what you pay may be shown in your local currency rather than US dollars. Local prices are not a straight currency conversion of the US price. The price you see at checkout is the price you pay. In India, for example, Pro is ₹99 a month or ₹999 a year, Team is ₹499 a month or ₹4,990 a year, and Business is ₹999 a month or ₹9,990 a year, all inclusive of GST.

6. Refunds

We want you on a plan that actually works for you, so the refund terms are simple:

  • 14-day window on your first paid charge. If OrderBookApp is not right for you, ask within 14 days of your first payment and we will refund it in full.
  • Renewals. Renewal charges are generally non-refundable, but if you were charged for a renewal you did not intend and have not meaningfully used the Service in that period, contact us within 14 days of the charge and we will review it.
  • Annual plans. Cancelling part-way through an annual term does not automatically produce a refund of the unused months; contact us and we will consider the circumstances.
  • Duplicate or incorrect charges are always refunded in full.
  • Statutory rights. Nothing here removes refund rights you have under the mandatory consumer law of your own country.

Approved refunds are returned via Paddle to the original payment method, typically within 5–10 business days depending on your bank.

To request a refund, email [email protected] with your business name, the charge date and the amount. You may also contact Paddle's buyer support directly. Paddle's buyer terms also apply to your purchase.

7. Cancellation

You can cancel at any time from your account settings or by emailing [email protected]. Cancellation takes effect at the end of your current billing period — you keep full access until then, and you are not charged again.

  • No further charges are taken after cancellation.
  • Your data is not deleted when you cancel: the account drops to the Free plan, where your orders, invoices and statements remain readable.
  • To delete your data entirely, use Settings → Delete account, as described in our Privacy Policy.

8. Failed payments

If a payment fails, Paddle retries it automatically over several days and we email the account owner. If it continues to fail, the account returns to Free as described in section 4: the owner keeps full access and staff seats are locked until a working payment method is added.

9. Price changes

We may change our prices. Existing subscribers will be notified by email at least 30 days before a change takes effect on their account, and the new price applies from the next renewal. If you do not accept the new price you may cancel before it takes effect.
